Update regarding outside group use of school district facilities

Several Fields Available for Outside Groups

Although current safety protocols prevent us from being able to issue permits for indoor facilities this spring, we are excited to begin accepting requests for outdoor facility use at North Main, Pine Tree, Sapphire and Smith Clove. These fields will be open beginning Monday, April 12, 2021.

We will not be able to approve community requests on the main campus (High School, Middle School, Central Valley) at this time. These spaces are being used extensively by school teams.

Tennis Courts and Track Use

As they have been in the past, the tennis courts and track will be open for community use when these venues are not being used by the district.  There will be no group use approved for these sites, but individuals wishing to train may do so individually.  The track may not be used by the community if there is a school group utilizing the turf field.

Permit Requests & Insurance Requirements

All field use requires a permit and a $25 application fee.  Permit requests must be made via the online facility scheduler, which is now open.  Here is the link to help you with the requesting process.  This information is also available on our district website (click “community” then “use of facilities” at the bottom of the page).

Please make sure your organization’s insurance is current and meets district requirements. For more detailed information, please view Insurance Requirements for Use of District Facilities

Social Distancing/Safety Guidelines strictly enforced

Most importantly, you will notice a new clause in the electronic contract that refers to social distancing guidelines and safety precautions.  These precautions refer to the following:Group leaders must monitor their members for COVID symptoms. Participants or coaches who are not feeling well should not be on site.

  • Parents and other spectators should not be on the field.
  • Shared equipment should be avoided when possible.
  • Social distancing should be adhered to whenever possible.
  • Masks must be worn by coaches at all times.  Students should wear masks if social distancing is not possible.

District security patrols

Security officers will be circulating and making sure there is no misuse or unpermitted use of facilities. The security staff will be conducting spot checks for permits and rosters,  which you should be able to produce upon request.  They will also be monitoring your adherence to current protocols.  Please cooperate as they are working on behalf of the district.  Failure to comply will result in permit revocation.  If we, as adults, don’t follow the rules, we will only be hurting the kids.

Thank you for your work with our students and your support of the district. We look forward to seeing our community out on the fields and having fun.

As always, if you have any questions or need assistance with this process, please contact my office at (845) 460-7045 ext. 7048 or reach out to Carrie Hewitt at(845) 460-7000 ext. 7040.  Thank you for your continued support.
