
Use of MWCSD Indoor/Outdoor Facilities
Monroe-Woodbury Central School District is pleased to share its buildings and athletic fields with the community. Use of these facilities is governed by the Board of Education's Policy and directives.

Monroe-Woodbury Central School District athletic fields are available to non-school community teams that have obtained prior school district approval. These fields are available if the date(s)/time/site does not conflict with district athletic teams and provided that the fields are playable.
To apply to use a district building or field, use the links to the Facilities Scheduling Portal and the "How To" guide on the right. Questions should be directed to Facilities Scheduler, Carrie Hewitt.
Public meetings are held each year to schedule the use of fields and gymnasium space for community teams. Watch the district website for meeting dates and times.

Depending upon weather conditions, it may be necessary to close the fields. A system has been created to alert community users to current field status. A flag in the Athletic Fields complex will fly a colored flag. A green flag indicates the fields are open; a red flag indicates the fields are closed.
For quick reference, a link is posted to the district Athletics page menu to indicate whether the flag is red or green.
Indoor/Outdoor Facility Use Permits are required
All indoor and outdoor facility use requires a permit which must be requested via the Online Facilities Scheduling Portal.

Required Insurance:
All users must provide the following insurance prior to using facilities. Failure to do so prior to use will result in revocation of your permit.
The user hereby agrees to name the district as an unrestricted additional insured on the user’s policy.
The policy should name the district as additional insured and shall:
be an insurance policy from an A.M. Best rated “secured” New York State insurer, permitted to do business in New York State;
contain a 30-day notice of cancellation;
state that the organization’s coverage shall be primary and non-contributory coverage for the district, its Board, employees and volunteers;
additional insured status shall be provided with ISO endorsement CG 20 26 11 85 or its equivalent.
The user agrees to indemnify the District for any applicable deductibles.
Required Insurance:
Commercial General Liability Insurance - $1,000,000 per occurrence/$2,000,000 aggregate.
User acknowledges that failure to obtain such insurance on behalf of the District constitutes a material breach of contract and subjects it to liability for damages, indemnification and all other legal remedies available to the District. The user is to provide the district with a Certificate of Insurance and additional insured Endorsement, evidencing the above requirements have been met. The failure of the district to object to the contents of the certificate or the absence of same shall not be deemed a waiver of any and all rights held by the District.
The district is a member/owner of the New York Schools Insurance Reciprocal (NYSIR). The user further acknowledges that the procurement of such insurance as required herein is intended to benefit not only the district but also NYSIR, as the district’s insurer.
2023-2024 Facilities Use Information
The Use of Facilities Fee Schedule for outside organizations was approved at the November 12, 2021 Board of Education Meeting.
Classification of Groups
Class I – Community based non-profit groups with 100% MWCSD residents
Class II – Community affiliated non-profit and for profit organizations with at least 75% MWCSD residents
Class III – Organizations based outside of MWCSD
Fee Schedule
All fees are hourly unless otherwise indicated.
In addition to hourly fees, a flat fee of $25 will be charged as an application fee for each request.
